Minor error on W-2s

Accounting and Financial Services notified employees last week of a negligible print error on paper W-2 forms. In Box 15, the abbreviation for California reads “A” instead of “CA.”

This error occurred only on paper W-2s, not on those that employees opted to receive electronically.

Employees are advised that they can submit their paper W-2s as is. Do not make handwritten corrections.

“We have verified that this omission is considered an ‘inconsequential error’ that does not require the issuance of corrected W-2 forms by the university,” Associate Vice Chancellor J. Michael Allred wrote in a Feb. 3 e-mail to employees.

If employees wish, they can download and print their W-2s (with “CA” in Box 15) from the At Your Service Web site (atyourservice.ucop.edu). Normally, for people who receive paper W-2s, the electronic versions would not have been available until Feb. 15. However, because of the error, the university provided access as of Feb. 1.

“We regret any inconvenience or concern that this may have caused you.” Allred wrote.

The Chancellor’s Achievement Awards for Diversity and Community were announced on Jan. 29, recognizing people who have contributed to the well-being of the UC Davus community.

Fire training postponed

The UC Davis Fire Department has postponed a training exercise yet again due to wet conditions. The department and neighboring fire agencies are planning to burn down an old house — one that the university planned to demolish anyway.

The exercise on UC property west of Highway 113 had been scheduled for Jan. 27 and then Feb. 13, and now has been reset for Feb. 19.

The house sits on the east side of County Road 98, just south of Hutchison Drive and opposite the campus landfill.

Picnic Day applications

Picnic Day applications — for the parade, exhibits, alumni events, entertainment and more — are being accepted through Feb. 25.

The various forms and further information are available online: picnicday.ucdavis.edu (look for the “Applications” link under the “Home” tab).

Picnic Day this year is scheduled for Saturday, April 18. This celebration of all things UC Davis will be the 95th annual. But, because it comes in the university’s centennial year, Picnic Day 2009 carries a centennial theme: “Reflections — 100 Years of Aggie Legacy.”

Picnic Day starts at 9 a.m. with the parade, followed by a full day of entertainment, departmental exhibits, animal shows and much more.

Advisory committees

Applications are south by March 9 for the campus’s administtrative advisory committees for 2009-10.

The committees address topics such as arts, athletics, child care, student services and research, and they provide an opportunity for all constituencies — Academic Senate and Academic Federation members, staff, graduate students and undergraduate students — to participate in campus governance.
